The Complete Ask-AI Self Onboarding Guide

Welcome to Ask-AI! Please follow the steps below by either clicking on the videos or following the images guide to onboard yourself onto Ask-AI.

 

What is Ask-AI?

Ask-AI is a tool meant to empower you during your daily routine. Ask-AI combines all your company knowledge and communication sources into one platform to reveal ChatGPT like answers through one singular search. 

  • Search using natural language questions to get a direct answer
  • Seamlessly surface the relevant knowledge across all your data sources
  • Easily copy and share the relevant answers with your customers and colleagues

How to install Ask-AI?

If your IT force installed the Ask-AI extension in your extension bar (found in the screenshot below, you can skip this step, just make sure you pin the extension!)

If you do not have Ask-AI installed, please follow the steps below:

Open the Installation Link 

Option 1: Video to Follow (2 minutes)
Option 2: Follow the images guide below

Go to the install link: Beta Chrome Extension and add to chrome

Find the extension in your extension management (“Ask.AI Beta”) and click the pin so it turns blue to pin it for quick access

Log in via your work email

Open settings by clicking on your user profile icon in the light blue bubble in the top right corner in the Ask-AI extension. Then verify both boxes “Display Floating Widget” and “Open Link in New Page” are check marked.

Refresh the browser in order to activate the floating widget! Found in the bottom right corner of your screen.

💡Note: Our floating widget seamlessly integrates with all webpages → anywhere you are, the floating sidebar will be! If it's not visible on a particular webpage, reach out to your CSM or support@ask-ai.com with the URL, and we'll promptly enable it. 

 


How to Use Ask-AI?

Functionality: Opening/Hiding/Enhancing the Extension: 

  • Click on the floating icon in the bottom right corner of your screen (note that you can drag it up/down)
  • Click on the “x” icon to hide the sidebar extension
  • Click and drag the hand to enhance the sidebar view to enlarge the Ask-AI screen or minimize it

Searching for Answers:

Generative AI search capability based on your company knowledge! 

You have a few option to ask a question in the app:

 

Ask in the search bar after opening the floating app, click enter

Search directly from text: Highlight a portion of text -> click on the "Search Text" bubble that appears to then auto search in Ask-AI

Important To Know:

Data Sources: you can filter your searches to one, or many data sources. By clicking on the data source ex: Slack, by clicking on the Slack icon you are opting out the source. Therefore, you will not see answers that exist in Slack
Dates: the date you see in the top right corner of the answers, represent the time the article, ticket, or conversation was last updated
Confidence %: the % you see in the bottom left corner of the answer represents the confidence score our model assigns answers based on relevancy, timeliness, data source weight, and your thumbs up/down feedback 



Getting answers:

Generative answer - In the light blue box that appears at the top when you search a question, you will get an answer that was created out of multiple data sources in a high confidence level, to deliver a summary to you. 

 

Direct link answers - in the list of answers, you will get answers directly from the defined data sources integrated for your organization. You can view the source the answer was taken from and you can see the confidence score the model ranks the answer in terms of relevancy to your question.

  • By clicking on the link you will get a preview of the answer from the source. 
  • By clicking on “open page” you will be directed to the actual source in the place where your answer is in a new page
  • By clicking on copy, you can copy the answer and the link



Summarize/Rephrase

  • Save time by summarizing lengthy text. Highlight the text, click "Summarize Text", and voila, the text is summarized!
  • Improve responses by refreshing the answer via Ask-AI. Simply highlight the text -> click "Rephrase Text", and witness an instant rephrasing!

💡 Note:  When using Google applications like Drive or Decks, follow these steps: highlight the text, then press Command+C (for Mac) or Control+C (for PC). Afterward, the desired option will become accessible.

How to Give Feedback?

Your feedback is essential to us! The more input you offer, the better equipped we are to deliver the most accurate answers and extract knowledge from relevant data sources. Additionally, your feedback on missing information enables your internal team to enhance and refine the knowledge base further.

So, what type of feedback can you provide? 

👍Thumbs up - if you find the desired result, click thumbs up on the answer, to help us rank it higher

 

👎Thumbs Down - click thumbs down if you find the answer inaccurate or not helpful and select the reason:

  • The content is not accurate 
  • The answer is not relevant to your question

ℹ️ Missing Answer - If you find a better answer outside of Ask-AI, share it with us via link and text for improved knowledge coverage.

 

🙇 Request Knowledge - in case you identify there is no documentation for the answer you need inside Ask-AI or outside (not anywhere in your company), share it with us and we will pass it to your organization to create.

FAQ:

Q: I cannot log in
A: If you cannot log in with your email into Ask-AI, it means that you have not been added to SSO or invited as a user. Please connect with your SSO Admin, manager, or reach out to your CSM. 


Q: I do not see a floating widget
A: If you do not see the floating widget as demonstrated in the videos - ensure “display floating widget” is check marked in settings, hit save. Then please open a new page such as: Zendesk, Gmail, Salesforce Tickets, Salesforce Knowledge Base, or Confluence. Refresh the chosen page, and the floating widget should then appear.

Q: What does it mean if I get all answers with a low confidence level (<55%)?

A: That means that Ask-AI did not find the relevant answers in the knowledge bases that are indexed. If you find the answer somewhere else, please add it in the “report missing expected answer”. If you haven’t found the answer outside of Ask-AI, and you believe it is important, please add it in “request information not currently available” and we will share this with your organization.

 

Q: Can I see results only from specific resources?

A: Yes, you can opt out sources by clicking on them, narrowing your search to only one or a few data sources, then simply opt them back in by clicking on them again. 

 

Q: What is the difference between the light blue answer and the rest of the answers below?
A: The answer in the light blue box is the “generative answer” that our model created out of multiple sources, it will provide you with a summary to answer your questions. It will appear ONLY when we have answers with a high confidence level. The rest of the answers are retrieved from the actual indexed data sources.


Best Practices:

 

If you’re looking for specific answers, ask specific questions. Instead of keywords, try phrasing a question as you would ask a colleague or a manager, Ask-AI is an NLP tool meant to be able to answer fully phrased questions.

 

Outside of asking questions, leverage the Ask-AI tool to find what you’re looking for! Specific articles, decks, pricing plans, old tickets, etc..

 

Ask-AI can only be as good as the knowledge your organization has. Ask-AI will not be able to answer questions that have never before been answered or documented in your organization. 

 

If your search includes acronyms, make sure you write them in capital letters.

 

In order to find documents, articles, links, or tickets using exact match wording, please make sure you are searching using “quotation marks”. This is a capability that will narrow your search to what is written in quotations exactly.
